How does GateWise generate GST maintenance bills?
GateWise auto-generates maintenance invoices on the billing date you configure (e.g. 1st of every month). Bills include all charge heads — maintenance, sinking fund, corpus, parking, water, clubhouse — with CGST and SGST calculated automatically based on your society's GST registration and applicable rates. Each bill is a PDF with your society's logo, GSTIN, and address. Bills are sent via WhatsApp, email, and in-app simultaneously.
Which payment methods are supported?
GateWise supports UPI (GPay, PhonePe, Paytm, BHIM, any UPI app), debit and credit cards, net banking (100+ banks), NEFT/IMPS with auto-matching, NACH auto-debit mandates, and cash/cheque manual entry by the treasurer. UPI via Razorpay is the most popular — the WhatsApp bill contains a one-tap UPI deep-link so residents pay in under 10 seconds.
How do WhatsApp payment reminders work?
On billing day, GateWise sends each flat's owner a WhatsApp message containing: the bill summary, a PDF attachment, and a UPI deep-link button that opens any UPI app pre-filled with the exact amount. Automated reminders go at D-7, D-3, D-0 (due date), and D+3 for overdue accounts — with a late fee notice on the overdue reminder. All reminder schedules are configurable.
How does Tally export work?
GateWise exports a Tally-compatible XML file with voucher-level entries mapped to your society's chart of accounts (configured once with your CA). The file can be directly imported into Tally Prime using File → Import → Vouchers. Your CA doesn't need to rework anything — the import is complete and clean.
Can I collect water meter charges separately?
Yes — water metering is included in Professional and Enterprise plans. You enter (or import via CSV) monthly readings for each flat. GateWise calculates consumption, applies your per-unit water rate with slab pricing if needed, detects anomalous spikes (possible leaks), and auto-adds the water charge line to that month's maintenance bill.
How are late fees calculated?
You configure late fee rules in Settings: grace period (5/7/10/15 days), fee type (flat ₹ amount or percentage), and compounding (simple or compound). GateWise applies these automatically after the grace period expires and notifies the resident. You can waive late fees for individual flats case-by-case from the admin panel.
What is the CA audit pack?
The CA audit pack is a one-click PDF export containing: income-expense statement, flat-level ledger, GSTR-9 annual return summary, bank reconciliation report, vendor payment ledger, and member dues aging report — everything your CA needs for annual audit. It generates in under 3 minutes and replaces 3 days of manual preparation.
Do visitors need to download an app?
No. Visitors receive a WhatsApp message with a QR code image — they simply show the screen to the guard who scans it. No app download, no registration. Visitors who arrive without a pre-approval receive an OTP via call or SMS that the guard enters to verify and notify the resident.
What happens if the internet is down at the gate?
The guard app caches the last 24 hours of pre-approved visitor QR codes and domestic help passes locally. Scanning and entry logging continue to work offline. All entries sync to the cloud automatically when connectivity is restored. For walk-in visitors without pre-approval, the guard uses the fallback manual entry form.
Can we manage multiple gates?
Yes. GateWise supports unlimited gates with individual naming (Main Gate, Parking Gate, Rear Gate, etc.). Each gate has its own log, its own guard assignment, and can have different entry rules. The committee dashboard shows a consolidated view across all gates with per-gate drill-down.
How does domestic help management work?
Residents add domestic help (maid, cook, driver, nanny) from the member app with name, photo, and permitted days/times. A digital monthly pass is created. At the gate, the guard searches by name or scans a QR to verify the pass. Attendance is logged automatically and flat owners can view their help's entry/exit times from the app.
Does GateWise integrate with ANPR cameras or boom barriers?
Yes — on the Enterprise plan. GateWise integrates with ANPR camera systems to auto-read vehicle number plates and cross-reference against registered vehicles. Boom barrier relay integration (BFT, Nice, FAAC, Roger Technology) allows automatic gate open/close on QR scan or RFID tap. Contact our enterprise team for hardware compatibility check.
Which platforms are the apps available on?
Currently, GateWise offers mobile apps for members, guards, and admins — compatiable with Android 8.0 and above, including low-cost devices from ₹5,000 upward. iOS (iPhone) apps are in development and expected by Q3 2025. Web browser access is available for all roles on any device via the full web platform.
Do residents need to create an account to use the app?
Residents receive a WhatsApp/SMS invite with a one-tap login link — no password to remember. They verify via OTP and set up their profile in under 2 minutes. For those who prefer not to use the app, WhatsApp remains a fully functional channel for bills, visitor approvals, and notices.
How are push notifications delivered?
In-app push notifications use Firebase Cloud Messaging (FCM) for real-time delivery. If a resident has uninstalled the app or notifications are off, GateWise automatically falls back to WhatsApp. For critical alerts (visitor arrival, SOS), both push and WhatsApp are sent simultaneously.
Can a flat have multiple registered users (owner + tenant)?
Yes. Each flat can have multiple registered members — owner, tenant, spouse, family members — each with their own app login and notification preferences. Bill payment notifications go to the primary contact (configurable as owner or tenant). Visitor approvals can be done by any registered member of that flat.
Is there a per-flat charge in addition to the monthly plan?
No. GateWise charges a flat society-wide monthly subscription within the unit cap of your plan. Whether you have 50 active flats or 500 (on Professional), the subscription price is fixed. No per-flat, per-user, per-transaction, or per-message fees — ever. This is a deliberate design choice to make GateWise predictable for committee budgets.
Are payment gateway transaction fees included?
No. Payment gateway transaction fees (typically 1.8–2% + 18% GST) are charged directly by the gateway provider to your bank account — not by GateWise. Your GateWise subscription covers platform access; payment processing costs are separate and go directly to the gateway provider.
Do you offer annual billing discounts?
Yes. Annual billing gives a flat 20% discount compared to monthly billing. For example, Professional at ₹9,999/month becomes ₹7,999/month billed annually (₹95,988/year vs ₹1,19,988 monthly). Annual invoices are GST-compliant and accepted by society accounts for budget purposes.
What happens to our data if we cancel?
If you cancel, your account moves to read-only mode. You have 30 days to export all data — flat register, billing history, gate logs, maintenance records — in Excel/CSV format. After 30 days, data is permanently deleted from our servers per our retention policy. We never hold data hostage.
How long does onboarding take?
Most societies are fully live within one business day. Our onboarding team imports your flat register (from Excel or any format), configures billing heads and GST settings, sets up WhatsApp integration, installs and tests the guard app, and trains the committee admin in a 2-hour video call. The goal is that your society is fully operational before the 14-day trial clock starts.
What data do you need to start?
Minimum required: flat register (flat number, owner name, phone number) in any Excel or CSV format. Optionally, we can import: historical dues and arrears, member documents, existing domestic help register, vehicle numbers, and billing history. The more you share, the richer your starting data.
Can we migrate from another society management software?
Yes. We have migration scripts for ApnaComplex, ADDA, NoBrokerHood, and most Excel-based setups. For other software, we export via CSV and map fields manually — our team handles this entirely. Historical billing data (last 2–3 years) can be imported so your ledger is complete from day one.
Is there a setup fee?
No. Setup, data migration, WhatsApp integration, guard app installation, and committee training are all included free for all plans. There are no hidden charges before or after onboarding.
Is GateWise GST compliant for housing societies?
Yes. GateWise handles GST as per the circular clarifications for housing societies: maintenance charges above ₹7,500/month per flat attract 18% GST (CGST 9% + SGST 9%). Sinking fund, corpus fund, and advance payments are handled per GST guidance. We stay updated with CBIC circulars and our built-in CA reviews all GST rule changes before they affect billing.
Does GateWise support NOC workflows?
Yes — on Professional and Enterprise plans. The NOC module allows residents to submit flat-sale or flat-transfer NOC requests digitally with all required documents. The system verifies dues clearance automatically and routes the request through the committee approval chain. Approved NOC certificates are digitally signed and emailed to all parties.
Can GateWise help with AGM and election records?
Yes. GateWise stores AGM and SGM meeting minutes, attendance records, and resolutions in a searchable digital archive. Election records — candidate nominations, voting records, results — are documented and exportable for registrar filings. The member register (Form A equivalent) is always current and exportable.
Where is society data stored?
All data is stored exclusively on Oracle Cloud Mumbai servers — no data leaves India. This ensures compliance with Indian data localisation expectations and the DPDP Act 2023. We do not use foreign data centres or sub-processors outside India for any production data.
Is resident PII data safe?
Yes. Personal data (names, phone numbers, Aadhaar, vehicle numbers) is encrypted at rest using AES-256 and in transit via TLS 1.3. Access is role-based — guards cannot see financial data, residents cannot see other flats' data, and even GateWise engineers cannot access production data without audit-logged approval.
Are backups taken? What is the recovery guarantee?
Automated encrypted backups run every 6 hours to a separate Oracle Cloud region. Point-in-time recovery is available for the last 35 days. Our RTO (Recovery Time Objective) is under 4 hours and RPO (Recovery Point Objective) is under 6 hours. We have never had a data loss incident since founding.
What support channels are available?
All plans include WhatsApp support, email support, and access to our knowledge base and video tutorial library. TRIAL: 24×7 access. STARTER: 9am–6pm. PRO: 8am–8pm with priority queue. ENTERPRISE: 24×7 with dedicated account manager. Our average first response time across all channels is under 30 minutes during business hours.
Is there training for committee members and guards?
Yes. Onboarding includes: a 2-hour admin training session for the secretary and treasurer, a 30-minute guard training session (in Hindi if needed), and self-serve video tutorials for residents. We also provide a printed Quick Start Guide for guards and a Hindi-language guard app tip sheet.
What if we need a feature that GateWise doesn't have?
Submit a feature request from inside the platform or WhatsApp our support team. We track all requests, prioritize by demand, and ship updates bi-weekly. Over 60% of GateWise features were built from customer requests. If it's critical and you're on Enterprise, we'll discuss a custom development roadmap.
